Stat. tit. 67, § 67-301","heading":"Photographing, microphotographing or filming of records -","body":"Standards - Preservation of original negatives.\n\nA. 1. Any public officer of the state or any county, public\n\ntrust, authority or agency, city, municipality, district or legal\n\nsubdivision thereof, may cause any or all records, papers or\n\ndocuments kept by him or her to be photographed, microphotographed,\n\nreproduced on film, or duplicated in a manner acceptable to the\n\nState Archives and Records Commission. The custodian of the records\n\nmay permit any record to be removed from his or her office for the\n\npurpose of photographic filming or other duplication, and his or her\n\nresponsibility for their care and return shall continue during the\n\ntimes of their removal from the area controlled by the custodian of\n\nthe records during photographic or duplication processes. The\n\ncustodian of the records shall, before delivering any records for\n\nphotographing, duplication or microphotographing, make a complete\n\ncatalog list of the records to be filmed and retain the same until\n\nthe records are returned. He or she may require a bond, and shall\n\nrequire written receipt identifying each record removed from his or\n\nher custody. Such photographic film shall comply with the minimum\n\nstandards of quality for film, processing, and storage of permanent\n\nphotographic records promulgated by the Archives and Records\n\nCommission. Any other media containing duplicates of records shall\n\ncomply with standards promulgated by the Archives and Records\n\nCommission. The device used to reproduce such records on such film\n\nor other media shall accurately reproduce the original thereof in\n\nall details. Such photographs, microphotographs, photographic film\n\nor other duplicates shall be deemed to be original records for all\n\npurposes, including introduction in evidence in all courts or\n\nadministrative agencies. A transcript, exemplification, or\n\ncertified copy thereof, for all purposes recited herein, shall be\n\ndeemed to be a transcript, exemplification, or certified copy of the\n\noriginal.\n\n2. The original photographs, microphotographs, film or other\n\nmedia containing duplicate records shall be stored in a secure\n\nlocation that offers protection from unauthorized access and\n\nenvironmental hazards and conforms to the administrative rules\n\npromulgated by the State Records Administrator and Archives and\n\nRecords Commission, and only be removed therefrom for the purpose of\n\nmaking copies thereof as the custodian of the records may require.\n\nAt the election of the custodian of the records, however, the master\n\nfile or copy may, immediately upon being made, be deposited with the\n\nOklahoma Department of Libraries which shall retain it in a secure\n\nlocation that offers protection from unauthorized access and\n\nenvironmental hazards and conforms to the administrative rules\n\npromulgated by the State Records Administrator and Archives and\n\nRecords Commission, and furnish such copies thereof as may be\n\nrequired for the purposes of the custodian of the records.\n\n3. A copy of such photographs, microphotographs, reproductions\n\non film or other duplicates properly certified and cataloged shall\n\nbe placed in conveniently accessible files and provisions made for\n\npreserving, examining and using the same, including reproduction of\n\nsame. There shall be available for use by the public at least two\n\ndevices for viewing, and at least one of said devices shall provide\n\nfor reproducing the photographic or other duplicate records. Such\n\ncopies shall be certified by their custodian as true copies of the\n\noriginals, and the copies so certified shall have the same force and\n\neffect as the originals. A statement in writing describing the\n\nrecord and certifying it to be a true copy, and attached securely to\n\nthe reproduction, will be deemed a sufficient certification. Any\n\nviewing devices in use at the time of the passage of this act may\n\ncontinue to be used, although such device does not provide a\n\nreproducing system.\ncopies so certified shall have the same force and\n\neffect as the originals.
